Who we are
Heatpoint Solutions Ltd ("we", "us") is a plumbing and heating business registered in England, with its office at 6 Trinity Place, Midland Drive, Sutton Coldfield B72 1TX. We are the data controller for the personal information described in this policy. You can contact us about anything in this policy on 0121 630 1973 or at sales@heatpointsolutions.com.
The information we collect
We collect the information you give us when you contact us or book work: typically your name, phone number, email address, the property address where work is needed, and details of the job. If you are a landlord or agent, we may also hold tenant contact details you provide for arranging access, and copies of certificates we issue for your property.
How we use it
We use your information to respond to enquiries, provide quotations, schedule and carry out work, issue invoices and certificates (such as gas safety records), keep records required by law and by the Gas Safe Register, and contact you about work we have done or reminders you have asked for (such as annual service or CP12 renewals). Our lawful bases are the performance of a contract with you, our legal obligations, and our legitimate interest in running the business.
Who we share it with
We do not sell your information. We share it only where needed to do the job or meet the law: for example with the Gas Safe Register and local authority notification schemes when registering work, with our accountant for bookkeeping, and with suppliers where delivery to your address is required. Any provider we use to store data (such as email or invoicing software) processes it only on our instructions.
How long we keep it
We keep records of quotes, invoices and certificates for as long as the law and our insurers require — generally six years, and longer for gas safety records where regulations require. Enquiry details that don't become a job are deleted within a reasonable period.
Your rights
Under UK data protection law you can ask for a copy of the information we hold about you, ask us to correct or delete it, object to or restrict how we use it, and complain to the Information Commissioner's Office (ico.org.uk) if you're unhappy with how we've handled it. To exercise any of these rights, contact us using the details above.
